SalesSense (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our sales call analysis and coaching platform (the “Service”).

2. Information We Collect

2.1 Call Recordings and Transcripts

When you upload call recordings to our platform, we collect:

  • Audio and video recordings of your sales calls
  • Transcripts generated from your recordings using speech-to-text technology
  • Call metadata, including call titles, call types (e.g., discovery, demo, follow-up), buyer personas, company domains, and duration
  • Video metrics (if video analysis is enabled), including nonverbal communication signals such as posture, eye contact, and presence indicators

2.2 Account Information

We collect account information necessary to provide the Service:

  • Email address (used for authentication and account management)
  • Name (as provided by you)
  • Authentication provider ID (linked to your Supabase authentication account)

2.3 Team and Organization Data

When you use SalesSense as part of a team:

  • Team name and organization information
  • Team member roles (owner, manager, or rep)
  • Team playbook context, including value propositions, ideal customer profiles, and objection handling strategies that you configure

2.4 Coaching and Usage Data

We collect data related to your use of coaching features:

  • Call analysis results, including scores, metrics, and coaching suggestions
  • Highlights and practice responses you create or interact with
  • Micro-goal completions and coaching focus areas
  • Usage metrics, such as which calls you view and when

3. How We Use Your Information

3.1 Call Analysis and Transcription

We process your call recordings to:

  • Transcribe audio/video using Deepgram's speech-to-text service (Nova-2 Meeting model)
  • Compute metrics, including talk ratios, question rates, monologue detection, and speaking speed
  • Analyze video (if enabled) to extract nonverbal communication signals using Python-based video analysis tools

3.2 AI-Powered Coaching

We use artificial intelligence to provide coaching feedback:

  • LLM-based scoring using OpenAI GPT-4o (with DeepSeek as fallback) to generate call scores, summaries, and coaching suggestions
  • Personalized coaching based on your team's playbook context and best practices
  • Micro-goal generation to help you focus on specific improvement areas
  • Highlight extraction to identify key moments in calls (e.g., objections, weak closes)

3.3 Service Provision

We use your information to:

  • Provide, maintain, and improve the Service
  • Authenticate your account and manage team access
  • Store and serve your call recordings and analysis results
  • Generate pre-call preparation cards based on company context
  • Track your progress and coaching engagement

4. Who Can Access Your Data

4.1 Team-Based Access

Your call data is organized by teams. Access is controlled by role:

  • Reps can view and manage their own call recordings and analysis
  • Managers and Owners can view all calls within their team
  • Team Owners have full administrative access to team settings and member management

4.2 Service Providers

We use third-party services to provide the Service. These services have access to your data only as necessary to perform their functions:

  • Supabase - Authentication, database storage, and file storage for call recordings
  • Mux - Video/audio upload, transcoding, and playback services
  • Deepgram - Speech-to-text transcription services
  • OpenAI - Large language model services for call analysis and coaching
  • DeepSeek - Alternative LLM provider used as fallback

These service providers are contractually obligated to protect your data and use it only for the purposes we specify.

4.3 Administrative Access

Authorized SalesSense administrators may access your data for the purpose of providing support, troubleshooting, and ensuring service quality. We maintain strict access controls and audit logs.

5. Data Retention and Deletion

5.1 Retention Period

We retain your data for as long as your account is active or as needed to provide the Service. When you delete your account or remove data from the Service, we will delete or anonymize your data in accordance with our data deletion procedures.

5.2 Data Deletion

When you delete data or close your account:

  • Call recordings and associated analysis are deleted from our storage systems
  • Database records are removed using cascade deletion (when a team or user is deleted, related calls and analysis are automatically deleted)
  • Data stored with third-party services (Supabase, Mux) is deleted in accordance with their data retention policies

Note: Some data may remain in backups for a limited period before being permanently deleted. We do not retain deleted data longer than necessary for backup and recovery purposes.

5.3 Your Rights

You have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Object to or restrict certain processing activities

6. Data Security

We implement industry-standard security measures to protect your data:

  • Encryption in transit (HTTPS/TLS) for all data transmission
  • Encrypted storage for call recordings and sensitive data
  • Access controls and authentication requirements
  • Regular security assessments and updates
  • Secure API integrations with third-party services

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee absolute security.

7. Children's Privacy

Our Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact us, and we will take steps to delete such information.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last updated” date. You are advised to review this Privacy Policy periodically for any changes.
